Space Reservations

Visit Scheduling and Event Services to make campus space reservations. 

General Scheduling Policies:

  • Please allow up to a week for your reservation request to be made.  We can’t guarantee that a day-of or next day request can be made on such short notice.

Reservation Cancellations

  • The listed student contact in the comments section must contact UO Scheduling & Event Services to cancel the event.
  • To avoid all expenses/charges, the cancellation must be received no later than 48 hours prior to the listed Pre-event time.
  • Cancellations received less than 48 hours but at least 24 hours prior to the listed Pre-event time will incur 50% of all listed expenses/charges.
  • Cancellations received less than 24 hours prior to the listed pre-event time will incur 100% of all listed expenses/charges.


  • No food or drink is allowed in classrooms
  • The space must be returned to the default setup and condition at the event’s conclusion.  Charges will be assessed when classrooms require extra cleaning.
  • Some of the larger classrooms around campus require a supervisor from UO Scheduling & Event Services.  Those classrooms are: LIL 182, LIL 282, Hedco 220, Columbia 150, and Straub 156. 
  • Per the Lillis building manager, we will not allow our supervisor to leave Lillis 182 or 282 if asked.  These are the only two spaces that we are required to stay in the space for the entire event.  While we will allow our supervisor to leave other classrooms or EMU spaces for up to 30 minutes, this is not the case for Lillis 182 and Lillis 282.  Please keep this in mind when booking a room.

EMU Spaces:

  • Any reservation made for the Ballroom Area, Redwood Auditorium, or the Gerlinger Lounge requires a supervisor.  Please note that if a request is made in advance for that supervisor to step out of the room at any time, we will allow that for up to 30 minutes during the reservation time.

Liability Insurance:

  • Scheduling and Event Services now requires liability insurance from national organizations for events.

Rental Fees:

  • -FSL Groups don’t pay rental fees for spaces.  Any fees associated with spaces will be for labor hours, setup, takedown and cleaning of spaces, equipment, etc.


  • All fundraising on campus must go through the UO Ticket Office.  Student organizations aren’t allowed to do fundraising themselves and must arrange for an event cashier to handle any money handling at an event.
